TERMS AND CONDITIONS FOR ADULT STUDENT
IMPORTANT: Please make sure you read and understand the information in this document before you register and pay to join. Once you have chosen your course and paid for your lessons these lessons are booked for you and you may not be able to change your mind. You may be able to add lessons to your timetable but you may not be able to deduct lessons after your start date. Your start date is the date shown on your timetable as the first day of your course. Your timetable may change if you move into a class of a different level or if it is necessary to change the days and times as a result of Covid restrictions. ELH will not refund or reschedule lessons that students miss. When you complete your New Student Registration form you will be asked to sign to say you agree to our "Terms and Conditions". You can see all our Terms and Conditions here and choose the one that is relevant for you.
Students who wish to attend Face2Face lessons will need to adhere to our Rules for Face2Face Students.

We hope to open our Face2Face classes again from September 2020. However, in order to keep everyone safe during the current pandemic, it may at times be necessary to move Face2Face lessons to Live online lessons. Students who join Face2Face lessons are therefore asked to agree that they are willing to continue their learning with live online lessons if this is necessary due to Covid.
INITIAL STUDENT ENQUIRY
Students initially contact English Language House (ELH) mostly by telephone, by email, through the website, or they visit us at the ELH office.
Following an initial enquiry, we will email the student all the relevant information and then they can:

- Decide what course they want to do
- Decide what lessons they want to join
- Complete the Registration Form and pay the Registration Fee
- Pay the course fee and
- Start their lessons.
FLEXIBILITY and CHOICE for students
English Language House (ELH) has very flexible programmes of study and students can choose:
- What course they prefer
- What classes they prefer
- What dates they want to study
- If they want to do an exam as part of their course
- How much they want to pay

- assess your current language level
- talk to you about courses and study programmes that might be suitable for you

APPROVED AND UNAPPROVED LEAVE
Sometimes students cannot come to all the classes during the course dates they want to book. Students who know they will be absent must tell us in advance and before they book their course programme and pay their course fees. They must also give us the dates they will be absent. ELH can then give these students "approved leave" and will not include the dates the student has given in the course fees and in the student timetable. Teachers will also know not to expect the student on these days.

About the Registration Fee
The first time you join ELH you will need to pay a £39 registration fee. You pay this fee only once. This fee is non-refundable and is valid while the student is studying at ELH and for a break of up to 12 months.
It entitles students to:

- a needs analysis assessment on entry and when they return after a long break
- a basic tutorial every 5 weeks while they are studying at ELH
- an email with links to the Elh student welcome pack, the New student quiz and the phonemic chart to use in class
- pre course study and/or resource material if appropriate
- join ongoing classes at ELH
- join classes after taking a break of no more than 24 months
- take a hurdle test to enter an examination course
- attend Free classes, providing these are running and the student is the correct level to join
PAYING FOR CLASSES
Students mostly pay their full course fees in advance. It may be possible for students to pay a deposit and full fees in instalments but this option is only available to students who want to register for an Intensive course.

When should students pay?
- Visa students should pay no less than 10 weeks before the start date of their course.
- Non visa students should pay no less than 7 days before the start date of their course.
- Students who wish to claim a discount should pay full fees by the due date on their invoice.
EMBASSY STUDENTS
Embassy students are students who are sponsored by their embassy to study at ELH. If you are an embassy student please also read the following Important Information for Embassy Students.

When a student joins ELH for the first time they:

- be invited to join a Zoom orientation and/or induction

HOW TO RE-ENROL
Students can continue learning after the end of their initial course and/or can add more lessons to a course they are attending currently. To do this they must email the ELH Office and tell us:

Visa Students
Visa Students are students who need a visa to enter the UK to study. This includes students who need:
- a Short term student visitor visa up to 6 months
- a Short term student visitor visa up to 11 months
ACCOMMODATION for Students
Students who need ELH to find accommodation for them must also complete the Accommodation Form when they apply to study at ELH. We can place a student in homestay accommodation only if:
- It is safe to do so according the Gov. Covid rules.
- Advance payment is made as required; see our Terms and Conditions for students in Homestay.

Important Information about discounts:
- Students will mostly need to start and finish on an ELH start and finish date in order to be entitled to a discount.
- Discounts are only available for the courses identified and for the duration stated.
- Discounts are only available if full course fees are paid 7 days in advance of the start date of the course.
- Discounts are not available for bookings made through an agent, ETO or broker.
Credit notes
Students who start a course and decide not to continue cannot get a refund of the course fees.
In “exceptional circumstances” or if ELH has to postpone, re-schedule or cancel a course due to insufficient numbers, students will be given a credit note to be used for alternative or future courses.
Exceptional circumstances: students must explain in writing in advance of the day/s they are unable to attend the “exceptional circumstances” they want ELH to consider.

REFUNDS AND CANCELLATIONS
ELH will give the following refunds only:

A refund will only be made if:
Students who have paid “Full Fees” and have not been granted a visa to enter the UK will receive a refund of their course fees minus the Registration Fee, the Visa Administration Fee and , if applicable the Accommodation Placement Fee, which are non-refundable.
IMPORTANT: If a student cannot provide ELH with the evidence that they did not get their student visa ELH cannot give a refund.
Visa students who get a student visa to study at ELH and who decide to discontinue their studies will not get a refund. ELH will need to report these students to the UKVI.
It is the responsibility of the student or the agent who has registered the student to contact ELH if there is any change in the student’s situation and/or a change or delay in the student’s start and/or finish dates. ELH needs to be informed of this in writing no less than 14 days prior to the student’s start date. If a student misses their start date and ELH has not been contacted, the student will be charged the course fee and, if applicable, the accommodation fee for the week/s they have missed.
ELH may also be obliged to report the student to the UKVI.
- the student contacts ELH within 3 months from the date of their "Letter of Acceptance" to request a refund and
- he/she provides evidence that their visa has not been granted by sending their "visa rejection letter" to ELH.
- he/she makes sure that their rejection letter reaches ELH no less than 14 days prior to their course start date (note that the course start date is the date shown on their "Letter of Acceptance").
Students who have paid “Full Fees” and have not been granted a visa to enter the UK will receive a refund of their course fees minus the Registration Fee, the Visa Administration Fee and , if applicable the Accommodation Placement Fee, which are non-refundable.

Refunds for non-visa students:
Non visa students are students that do not need a "Letter of Acceptance" to study at English Language House.
- For fees paid for a 5 week course or less there is no refund.
- For fees paid for 6 weeks or more a 50% refund will be given only if ELH receives no less than four weeks’ notice in writing before the start date of the student’s course. The start date is the date of the student’s first class.
- After the start date of their course students will not receive a refund. In the event that a course is cancelled due to insufficient numbers students will be given a credit note to be used for alternative or future courses
Cancelling a Course
New Students should register/enrol and pay full fees no less than 4 weeks prior to the start date of their course. All students are asked to accept our Terms and Conditions when they register/enrol on a course and pay their course fees. Students who agree to our terms and conditions enter into an contract with English Language House and are entitled to a 14 day cooling off period. This cooling off period starts on the date shown on their registration/enrollment form. Starting for this date students have 14 days to change their mind and withdraw or cancel their chosen course. However if students wish to start their course less that 14 days after this date, they agree to forfeit the 14 day cooling off period. Once a student has started his/her course he/she is no longer able to change his/her mind, withdraw or cancel this course.
Force Majeure
In the event of force majeure; such as fire, flooding, infectious diseases, snow and other events outside the company's reasonable control which may cause the closure of the school, no refund of fees will be made to students. In exceptional circumstances and at the school's discretion students may be given a credit note
Absence from class
ELH does not give refunds for classes missed under any circumstances. Students who take unapproved leave from classes will be marked as absent from those classes. They cannot reschedule or receive a refund for missed classes.
Students who feel there are “exceptional circumstances” may request approved leave from classes in writing. They must state the reason for their request and the dates involved. Students will need to give no less than two weeks’ notice in order for this request to be considered. In this instance approved leave may be granted at the discretion of the Director ELH. The result of your request will be given to you in writing. The decision of the Director ELH is final.

Conduct
Our code of conduct states what we expect of students and staff at ELH. When you join ELH you agree to abide by the rules in our code of conduct. Students who break these rules may be asked to leave. In this instance no refund will be granted.
