INFORMATION FOR AGENTS WHO WORK WITH ENGLISH LANGUAGE HOUSE
The document and information below is intended solely for the attention of the agent we have shared it with, being the individual or entity who received the email to view this document. The document on this page may not be copied, forwarded or otherwise distributed or used by the recipient for any purpose other than the purpose for which it is transmitted and the contents remain the property and copyright of ELH.

TERMS AND CONDITIONS FOR AGENTS AND EDUCATION TRAVEL ORGANISATIONS

It is the ETO/Agent’s responsibility to ensure they have up to date information on all ELH English programmes and the most current details on Visa regulations for entry to study English in England.
It is very important that agents/ETOs allow no less than 14 working days for a new student application to be processed. If you need us to process an application sooner this may be possible but there will be an additional charge for this service.

WHAT WE EXPECT FROM THE AGENT/ETO:
When an agent/ETO introduces a student to English Language House we expect that he/she will give the student full and accurate information about:
  • English Language House.
  • the English programmes we offer
  • the Exams students can sit at our Elh Open examination Centre and
  • the Accommodation available in Milton Keynes.
  • the Application procedure to join English Language House including details about
  • our Terms and Conditions for students including
  • the Cancellation policy and cancellation fee and
  • the Terms and Conditions for Online bookings
Agents/ETOs must make sure that their student:
  • Completes the New Student Registration Form and the level test and
  • Pays the Registration fee.
  • Completes the visa form, if the student needs visa support documentation, and
  • Pays the visa admin fee
  • Completed the Accommodation form, if the student needs help from Elh to find accommodation in Milton Keynes, and
  • Pays the accommodation placement fee.
Agents/ETOs who introduce a student who is under 18 must make sure that:
  • their student's parent/s completes the parental consent form.

WHAT THE AGENT CAN EXPECT FROM ENGLISH LANGUAGE HOUSE:
We will look after your students and make sure they have the very best experience of living and learning English in England.
We promise to deal with your enquiries promptly and quickly and to always work towards a mutually beneficial goal.

THE ADMINISTRATION FEES:
In additions the the Registration fee, which is non refundable, there are certain other administration fees we may charge when a student requires an additional service such as, the issue of visa support documents, entry for an exam, taxi transfers, accommodation, application fast track etc. These administration fees are non refundable and are excluded from any commission payment.

THE FORMS WE NEED STUDENTS TO COMPLETE :
The agent can help the student to read and understand the Student Terms and Conditions and can help them to complete the required forms to Register for an English course at English Language House. The agent must not
complete any of these forms for the student. The student must complete the forms himself/herself and then sign to say that he/she has done so. For a student who is under 18, the agent must make sure that only one of the student’s parents completes and signs the parental consent form.

HOW WE WILL WORK TOGETHER:
The agent can complete the student introduction form to introduce a new student to English Language House.

Alternatively the agent can ask the student to:
  • Complete the Registration form and the level test
  • Complete the Visa form, if he/she needs a visa to study English in England
  • Complete the Accommodation form, if he/she needs help to find accommodation in Milton Keynes
If the student is under 18 one of his/her parents must:
  • Complete the Parental Consent form
If your student cannot access these forms via our website you can let us know and we can email these as attachments to you.

English Language House will then email the agent/ETO to:
  1. Inform the agent if we can accept their student conditionally* or unconditionally.
  2. Inform the agent that we are unable to accept the student**
  3. Send the agent a quote for the full fees ie the course fee and the non refundable admin fee/s.
*If a  student is accepted conditionally they must meet the conditions stated in their email in order to be accepted.
**If a student is rejected their personal details will be deleted from our systems.

If your student is happy to go ahead we will then raise an invoice for the full fees and email this to both yourself and your student. The invoice will include the date by which payment must be made and the sum which must be paid in order for the booking to be confirmed.
Once your student has confirmed their booking we will issue a is "booking confirmation" email and any visa support documentation that may be necessary.

THE AGENT'S AGREEMENT:

In agreeing to work with English Language House agents/ ETOs agree to:
  • Familiarise himself/herself with the application procedure and the information a students will need to know in order to register with English Language House.
  • Make sure that a new student is aware of the “Terms and Conditions for adult students” and "Terms and Conditions for Under 18s" prior to registration.
  • Give a student accurate information about the courses available at English Language House.
  • Give English Language House accurate information about the student.
  • Help a student understand the information about our courses, the types of lessons they can join and how we work and any other information we may send in response to their initial introduction and registration.
  • Help a student complete the required forms, if necessary, but NOT to complete or sign any forms on behalf of the student
  • Help a student understand the procedure for entry to UK as a visa student
  • If visa support documentation has been sent to the student by English Language House, the agent/ETO must inform English Language House promptly about the results of a student’s visa application.

THE AGENT'S COMMISSION
We offer agents an agreed commission on the course fees only; admin. fees do not form part of a student's course fees. Agents who work with us over a number of years and who increase our student numbers each year may receive a higher commission; this is negotiated between English Language House and the Agent. Agents must fulfil their obligation and their annual quota of students and/or student weeks in order to retain their agreed higher rate commission.

    2. The agent/ETO must know how to book a course with Elh and give this information accurately to the student.
    3. The agent/ETO  can help a student complete the relevant forms for admission to Elh but must not complete the forms for the student.
    4. The agent/ETO must make sure that the student supplies Elh with all the necessary documentation so that Elh can make an accurate analysis of the student’s application and eligibility to study English at Elh.
    5. The agent/ETO and student must check and confirm that the information they send to Elh is accurate.
    6. When a student is accepted and Elh emails the agent/ETO with a quote for the course fees the agent/ETO must check this with the student and verify this with Elh.
    7. It is important that agents/ETOs are fully aware of the Elh "Terms and Conditions” and that they inform students of these prior to any registration and payment. In particular agents/ETOs must ensure that students are aware of the Refund and Cancellation policy.
    8. The agent/ETO must ensure that students understand and agree to abide by the terms and conditions before they complete the Registration form. 10. The agent/ETO must ensure that students are aware that the Registration fee and admin fees are non refundable.
    11. Agents/ETOs must inform visa* students that Elh will require the student to pay his/her full course fees in advance in order to be issued with his/her "Letter of Acceptance". If a visa student cannot pay in advance, the agent/ETO and Elh must agree to an alternative payment option in writing in advance in order that Elh can issue the necessary documents.
*visa students are students who require a "Letter of Acceptance" to apply for a visa to study English at Elh
    1. Agents/ETOs must make sure that visa students know that if their visa application is rejected and they cannot travel to the UK they are eligible for a refund of their course fees minus any admin and cancellation fees.
    2. Agents/ETOs must inform visa students that Elh will need to see evidence that the student has not been granted a student visa before Elh can issue a refund. It is the responsibility of the agent to ensure that the student is aware that he/she must get a letter from the Embassy or the Home Office which will show that they have not been granted a student visa.
    3. Agents/ETOs must make it clear to students that if a student cannot provide Elh with the evidence that he/she did not get a student visa Elh will not issue a refund.
    4. Agents/ETOs must make it clear to students that if they get a student visa to study English at Elh and then decide not to continue their studies they will not get a refund.
    5. It is the responsibility of the agent/ETO to contact Elh if there is a delay or change in the student's start or finish dates. Elh needs to be sent an email at least 14 days before the student is due to start his/her course if there will be a delay.
    6. Agents/ETOs must make it clear to students that if they miss the start date of their course and Elh has not been contacted in writing 14 days or more before the start date then the student will be charged for the weeks of the course he/she has missed. In the event that a course is cancelled due to insufficient numbers students will be given a credit note to be used for alternative or future courses.
