TERMS AND CONDITIONS FOR STUDENTS WHO WANT TO STUDY AN ENGLISH COURSE:
The following terms and conditions apply to all bookings made for an English Course for international students regardless of whether the course is booked directly or through an Agent or Educational Tour Operator (ETO). By submitting the registration form and booking fee you are agreeing to the full terms and conditions. If registering a student who is under 18, you agree to the terms and conditions on their behalf. Please also see our application procedure, how we work and our safeguarding policy.
In order to keep everyone safe during the current pandemic, ELH may move students from Face2Face lessons to Live online lessons. Students who join Face2Face lessons agree to continue their learning Live Online when required to do so.
Students who want to learn English in England must have the right to study in the UK. English Language House can provide you with visa support documents so you can apply to enter the UK to study English for up to 11 months. When you arrive to study at ELH you will need to show us your passport with the correct visa which allows you to study before you can start your course.
1. BOOKINGS AND PAYMENTS:
It will usually take 14 days to process your booking and payment. If you would like us to do this sooner please ask us to fast track your application. You will need to pay the Fast track admin fee for this service

Our English programmes are mostly available as group lessons when there are 4 or more students in the class. When there are less than 4 students in a class then group lessons are not available and students will join Three2One, or Two2One or One2One lessons until group lessons become available again.
HOW TO APPLY TO JOIN AN ENGLISH PROGRAMME:

After we receive these documents we will email you to let you know if we can accept you on the course you want to join. We will also tell you how much your course will cost and what you will need to do to book this course.
- Complete the New Student Registration Form and
- Complete the level test.

1.3 If you need us to help you find accommodation during your course you must:
- Complete the accommodation form.

After we receive these documents we will email you to let you know if we can accept you on the course you want to join. We will also tell you how much your course will cost and what you will need to do to book this course.
HOW TO BOOK AN ENGLISH PROGRAMME:
1.5 If you are successful and we can accept you on the course you want to join, we email you and ask you to pay one of more of the following to book your course:
- The Registration Fee
- The Visa Admin Fee
- The Accommodation placement fee
- The Booking fee
- The Fast track fee
HOW TO CONFIRM YOUR PLACE:
After you make the correct payment/s to book your course we will email you to confirm receipt of your payment/s and send you an invoice and/or bank details so you can pay your full fees and start your course.

- to start their lessons 7 - 14 days after their first instalment payment and
- to continue to study until they complete the full number of lessons paid for in their first instalment payment
IMPORTANT INFORMATION:
Students who pay in instalments and are issued visa support documents by Elh to apply for a visa to enter the UK to study English will join a live online programme of up to 9 hrs per week and will continue to study until:
- either they are granted their visa and they arrive in the UK to continue their lessons face2face at English Language House
- or they are not granted a visa and they remain outside the UK and continue to study live online until they complete the full number of lessons they paid for in their first instalment.
Students who agree to 1.8 will be able to pay their full course fees in three instalment payments.
2. CANCELLATIONS, CHANGES AND REFUNDS:

ABSENCE FROM CLASS:
Usually students who are absent from class will miss their lessons and cannot make them up. We do not give refunds for lessons which students miss but we can sometimes help them catch up.
2.7 ABSENT FROM A GROUP CLASS:
When a student is absent from a group lesson it is not possible for them to reschedule the lesson. However, if we know 1 full working day (24hours) in advance, we may be able to arrange for the student to observe the lesson via Zoom.

2.8 ABSENT FROM A ONE2ONE CLASS:
When a student is absent from a One2One lesson it may be possible for them to reschedule this lesson but only if:

- The student gives the elh office 1 full working day (24hours) notice in advance of their lesson day and time
- The student informs the elh office by both email and via WhatsApp and gives a reason for their absence.
- The student completes their booked course no later than 3 months after their course end date.
- The student agrees to attend all rescheduled lessons on days and times that are suitable for elh timetabling purposes.

We will only offer refunds in cases for visa refusal where the student has followed UK Home Office guidelines for their visa application.
If a student arrives without the correct visa, we are required by law to arrange for them to leave as soon as possible.
2.13 Refunds will be made by the same payment method and to the same source as the original payment. Handling charges and fees levied by the card company on any card payments are non-refundable. Fees are not transferable to other students.
2.14 We reserve the right to charge an administration fee for any changes made to the original booking.
2.15 In the event that Elh has to cancel a course, we will do our best to move the student to an equivalent programme. If this is not possible, we will refund all fees paid to ELH, but will not refund any other payments, such as for flights.

- If they cancel or shorten their stay in homestay before their homestay arrival date as shown from 2.4 to 2.6 above
2.11 Students who paid their full fees in advance and have received visa support documentation from ELH to apply for a visa to study English in England are entitled to a refund providing they fulfil all the requirements shown below:
- Their visa application is rejected and
- They have informed Elh in writing 7 working days or more before their UK arrival date and/or face2face course start date (whichever is earliest) and
- They have sent notice in writing of their visa refusal along with a copy of the visa refusal letter.
2.12 Students who paid an instalment towards their full fees and have received visa support documentation from ELH to apply for a visa to study English in England are entitled to a refund providing they fulfil all the requirements shown below:
- They have completed the live online lessons they have agreed to attend and
- Their visa application is rejected and
- They have informed Elh in writing 7 working days or more before their UK arrival date and/or face2face course start date (whichever is earliest) and
- They have sent notice in writing of their visa refusal along with a copy of the visa refusal letter.
IMPORTANT:
We will only offer refunds in cases for visa refusal where the student has followed UK Home Office guidelines for their visa application.
If a student arrives without the correct visa, we are required by law to arrange for them to leave as soon as possible.

3. TUITION FEES:

- Use of an elh email address, onedrive and study material, where possible
- Entry tests
- Initial student induction on arrival via Zoom
- Hurdle tests for entrance to exam classes
- Free on-site internet access.
- Progress tests and a written progress report for each student completed by teachers and shared with the named student every 5 weeks
- An end of course "Certificate of Attendance" when requested 7 working days in advance of the course end date.
- Advice and support from Elh staff.
- Social Programme Activities, where possible.
Tuition fees do not usually include, (unless stated otherwise):
- The Registration fee
- The Visa Admin Fee for the issue of visa support documentation.
- The Accommodation Placement Fee
- The Fast track fee if you want your application to be processed within 24 working hours
- The Accommodation fee for the number of weeks you will stay at your accommodation.
- Lessons on UK public holidays.
- The fees for any social programmes, trips, events and activities which are not marked as “free”.
- Airport transfers.
- Exam entry fees, unless stated otherwise.
- Transport to and from external exam centres.
- Courier fees.
4. ENGLISH PROGRAMMES:
4.1 English programmes have entry requirements, such as minimum age and language level. Please refer to the details of the English programmes and our language level chart or contact us for further information. If the student provides us with incorrect information we reserve the right to make any changes considered necessary to the enrolment at the student’s own expense and, where necessary, we may ask them to leave their course and accommodation without a refund of fees.
4.2 All course programmes and course components are run subject to demand.
4.3 We reserve the right to change course arrangements and prices without advance notice.
4.4 In peak season, a number of classes at Elh may take place in alternative premises in Milton Keynes.
4.5 Once a course has started, if necessary, we reserve the right to move a student to a class/es that may be more suitable to their language level.

5. EXAM ENTRANCE:
5.1 Examinations may be held at Elh or externally. Exam entry fees are not included in the tuition fee, unless specifically mentioned in the English programme. Students who would like to take an exam can book through Elh by paying an additional exam entry fee. Exam entry fees include ELH’s administration service and the fee for the exam that is paid to the examination board for entry to the exam. Places for exam entry may be limited and we recommend that students book their exam at or before the start of their course. To confirm the exam entry students will need to present their passport or photo ID card, if accepted, to the Elh Office.
5.2 Students must pay for transfers to and from the exam centre, unless otherwise stated.
5.3 Students wishing to enter for an exam must bring valid passports for exam entry. National Identity cards may sometimes not be accepted in the UK. Exam boards may require students under the age of 18 to provide a separate consent form completed by their parents.

6. VISA SUPPORT DOCUMENTATION:
6.1 It is the responsibility of the student and/or student's representative to check the student's visa requirements for entry into the UK, and if necessary apply for and ensure the student is granted the appropriate visa for their period of study with ELH.

6.2 Elh will only issue visa support documentation once all registration requirements are met and all fees have been paid.
6.3 If you have not received your visa 14 working days before your face2face course start date as shown on the visa support document we have issued to you, you must inform us so we can work with you to make any necessary arrangements. If we receive less than 14 working days' notice of a visa delay and you wish to postpone your face2face course start date, we will charge a postponement fee (see section 2.1 - 2.5 above)
6.4 If your visa application is rejected and we receive notice in writing, along with a copy of the visa refusal letter, we will refund your fees in accordance with section 2.9 - 2.15 above.
IMPORTANT: It is essential that you contact us (as shown in section 2.1 above) to change your face2face course start date if there is a delay with your visa if you do not wish to incur the charges shown in 6.4c.
6.5 We will only offer refunds in cases for visa refusal where the student followed UK Home Office guidelines for their visa application.
6.6 f a student arrives without the correct visa, we are required by law to arrange for them to leave as soon as possible.

7.2 If you ask us to find a Hotel, Flat or house or a Bed and Breakfast for you, we will make this booking under your name and you will need to make full payment of the rent in order to confirm your booking.
7.3 Students will need to pay in advance for the full period of time they want to live in homestay accommodation or in monthly instalments (whichever is the shortest).
7.4 Homestay accommodation is mostly for adult students. The majority of homestay is usually unsuitable for students who are under 18.

- Pay the accommodation placement fee within 3 days of submitting the accommodation form.
- Pay the cost of their accommodation.
7.2 If you ask us to find a Hotel, Flat or house or a Bed and Breakfast for you, we will make this booking under your name and you will need to make full payment of the rent in order to confirm your booking.

8. UNDER 18s:
Students who are 16 or 17 and who join an adult programme must be mature enough to study in an adult class. If they are not serious about learning English and they are disruptive during lessons they will be removed from the adult class and they will be given one2one or two2one or three2one lessons, which may be for less hours per week, for the remainder of their course.
Students under the age of 18: see our safeguarding policy for information about what we will do to make sure an under 18 year old is safe at Elh.
The minimum age for students joining an Elh adult course is 16. Students under the age of 18 are considered children by UK law and we require additional information and consent to be able to accept these students onto our adult courses. In addition to the above rules, the following applies to students aged 16 and 17:
8.1 Unless living with their family, we strongly recommend that students aged 16 and 17 stay in accommodation arranged and monitored closely by their parents or, if possible, with elh arranged accommodation.
8.2 By choosing not to book elh arranged accommodation you are giving permission for the student to live independently in the UK.
8.3 If a student is not staying in Elh arranged accommodation, we must receive full contact details of where the student is staying. We accept no responsibility for accommodation not booked through us.
8.4 Unless travelling with their family, we strongly recommend that students aged 16 or 17 book the Elh taxi transfer service.
8.5 By choosing not to book the Elh taxi transfer service, you are giving permission for the student to travel to the UK independently. We cannot be held responsible for the safety of under 18s who have not booked the Elh taxi transfer service.
8.6 Some airlines do not allow students under the age of 18 to travel without an adult. Please check the airline’s guidelines before booking flights.
8.7 Students aged 16 and 17 are able to join all social activities arranged and supervised by Elh staff.
8.8 Students aged 16 and 17 can travel independently within the UK on day trips, providing they return to their accommodation by 23:00 hours.
8.9 Elh must receive written permission from parents for students aged 16 and 17 who wish to:
8.10 If a student under 18 needs urgent medical attention and their parents / guardians cannot be contacted, Elh will act in loco parentis and will arrange for a doctor to give any medical treatment considered necessary, as well as authorise the administration of an anaesthetic and operation.

Students under the age of 18 are considered children by UK law and we require additional information and consent to be able to accept these students onto our adult courses. - Never buy alcohol, cigarettes (including electronic cigarettes) or tobacco for students under 18 or give alcohol to under 18s
- Not allow students under 18 to visit Elh adult homestay / residences for students aged 18 and over
8.12 Students aged 16 and 17 are considered to be children in the UK and must:
- Return to their Elh accommodation by 23:00 hours every evening.
- Inform their homestay Supervisor in advance if they are taking part in an Elh trip or activity that will finish later than 23:00.
- Not buy or consume alcohol, cigarettes (including electronic cigarettes) or tobacco as the minimum age to purchase this in the UK is 18
- Have written permission from their parent or guardian to join day trips booked by ELH, but organised and run by an Independent travel company.
- Not be absent overnight or go on holiday without informing the ELH Office who will contact parents for written permission
- Not move out of Elh accommodation without written permission from their parent
8.13 All students who are under 16:
- must not leave the school or be absent from meals in homestay without permission from the DOA.
- attend all lessons and activities.
- must observe the rules relating to IT software.
- must observe bedtimes, and silence must be maintained in bedrooms after lights out at night.
- must not enter into the bedrooms occupied by adults or students of the opposite sex. We will not tolerate any bullying. In serious cases students may be sent home.
- must not misuse school or homestay facilities including the activation of alarms without due cause. Fire escapes are for emergency use only.
- must switch off Mobile phone, iPods and other electronic devices during lessons, activities and after lights out.
- must not smoke! Smoking is not allowed on any Elh U16s courses at any time. Electronic cigarettes are not permitted.
- must hand in their airline tickets, passports, pocket money and credit cards for safekeeping to the DOA.
- must keep all other valuables safely locked away, or hand them in to the DOA for safekeeping.
- must never try to buy, get or supply alcohol or illegal drugs. Students who are found to possess, use or supply alcohol or illegal drugs will be sent home with no refund of fees.
9. ARRIVAL AND DEPARTURE:

9.2 Students who want to book an Elh arrival or departure taxi transfer must submit their travel details as early as possible and pay the published rate. If travel details are received less than 7 working days before travel, we reserve the right to charge an administration fee. Students who cancel their taxi transfer less than 7 working days in advance will not be entitled to a refund. Students are responsible for any additional taxi waiting time charges if their flight is significantly delayed.

10. HOLIDAY AND BREAK WEEKS
10.1 Elh is closed during public holidays and for 2 weeks over the Christmas period. Outside this time students can take breaks from their studies by booking their break weeks in advance.
10.2 We encourage students to book their break weeks at the time of booking and in advance of their course start date. Students who arrange their “holiday” break weeks during their course must notify us at least 20 working days in advance, and an administration fee may be charged.
10.3 It may not be possible to place students in the same class or accommodation after their break week/s.
10.4 If you wish to remain in your accommodation during the Christmas period, please contact us for availability. In case staying in your accommodation is not possible, we can recommend alternative options. Students who are away over the Christmas period but wish to retain their homestay accommodation must pay a retainer fee of £30 per week.
10.5 During other holiday periods, including holidays scheduled by Elh as mentioned above, students who wish to retain their homestay accommodation will need to pay the standard weekly rate for the first week and 50% of the standard weekly rate for any subsequent weeks.

12.1 These rules apply to behaviour in School, on Elh trips and activities and in Elh accommodation. They aim to ensure that students benefit from their time at Elh and in the UK and remain safe during their time here. Any students breaking these rules, or English law, or persisting in serious anti-social behaviour will be disciplined and may be asked to leave the school and their ELH-arranged accommodation with no refund of fees.
12.2 Elh accepts no responsibility for a student's personal actions to another party while at ELH, or for the supervision of students out of lessons or during scheduled activities.

- Not allow students under 18 to visit Elh adult homestay / residences for students aged 18 and over
12.5 Students aged 16 and 17 are considered to be children in the UK and must:
- Return to their Elh accommodation by 23:00 hours every evening.
- Inform their homestay Supervisor in advance if they are taking part in an Elh trip or activity that will finish later than 23:00.
- Not buy or consume alcohol, cigarettes (including electronic cigarettes) or tobacco as the minimum age to purchase this in the UK is 18
- Have written permission from their parent or guardian to join day trips booked by ELH, but organised and run by an Independent travel company.
- Not be absent overnight or go on holiday without informing the ELH Office who will contact parents for written permission
- Not move out of Elh accommodation without written permission from their parent
12.6 We reserve the right to ask students to leave Elh immediately and with no refund of fees for these reasons:
- Not attending classes regularly
- Serious anti-social behaviour (e.g. verbal abuse or rudeness, drunkenness, sexual harassment, violence, assault)
- Bullying, intimidating or threatening behaviour of any sort
- Proof of or admission to an illegal act (e.g. theft, assault, drink driving, possession or use of illegal drugs or offensive weapons – such as knives, guns or other object with intent to cause harm etc.)
- Breaking any UK law
- Interference with fire or safety equipment and procedures
- Misuse of computers or downloading of any offensive material
- Any other act that brings the name of Elh into disrepute
- Refusal to obey reasonable requests from a member of Senior Staff
12.7 The Director of Studies, the Director of Administration or the Director ELH may recommend that a student is not re-admitted to ELH. Reasons for this include the following:
- Lack of academic progress in spite of everyone’s best efforts
- Illness making it impossible for the student to get full benefit from the course
- Poor attendance and lack of commitment to the previous course
- A poor disciplinary record in class
- Behaviour in School or accommodation which is inappropriate, disruptive or disturbing to others
- Failure to pay fees
- Breaking any UK law

If we have tried to improve the situation for you but you are still dissatisfied you can make a formal complaint.
